The phone is the system of record, not a window into it
Treat the technician’s phone as the place the job gets documented, priced, and closed. The work order originates in the office, sure, but it becomes a billable, defensible record on a device standing in a crawlspace. If the tech writes parts on a clipboard and someone re-keys it that evening, the app failed no matter how long its feature list runs. Re-keying is where quantities drift, where a $340 condensate pump becomes a $34 line item, and where the invoice goes out four days late.
Offline-first is the dividing line between software that works and software that demos well. Cell coverage disappears in mechanical rooms, elevator shafts, rural service areas, and the back half of most commercial basements. An app that fetches the work order from a server the moment the tech taps it is useless there. What you want is local caching and a sync queue that drains when signal returns, with conflict handling that doesn’t quietly discard the tech’s version.
Four things have to survive a dead zone:
- Today’s schedule, with addresses, gate codes, and contact numbers already downloaded.
- Customer history: prior visits, equipment serials, open warranty claims.
- The parts catalog with pricing, so the tech can build the estimate on site.
- Capture: photos, notes, meter readings, and the customer signature.
Time entries deserve their own attention because they stop being convenience data the moment they hit payroll. Federal rules require employers to keep records of hours worked each workday and total hours each workweek for non-exempt employees (29 CFR 516.2), and those time and earning records must be preserved for at least two years (29 CFR 516.6). The nine things a field app has to do on a bad day
A good day tests nothing. Judge the app on the call that runs long, in a basement with no bars, when the customer disputes what was quoted. Nine capabilities decide whether that call ends in a signed invoice or a phone call to dispatch.

Score a demo against these nine in that order. Taking the payment on the phone is where the money leaks
Nearly every field app now bundles card processing, and the bundled rate is almost always flat: one percentage for every card, swiped or keyed. That’s a convenience fee dressed as simplicity. It’s fine when you run a few thousand dollars a month in irregular tickets. Once your volume is steady, ask for interchange-plus with the markup written down as one number, because interchange itself is set by the card networks and is the same for you as for the shop across town. Everything stacked on top belongs to your processor. Every line on the statement should have a name and a source, and a processor who won’t supply both should lose your account.
The app should never hold the card number. It should exchange the card for a token at the moment of capture, so a stored “card on file” for the maintenance plan is a meaningless string in your database. That shrinks the amount of card data you touch, which is the whole point of PCI scope work.
Then fix the billing descriptor. A homeowner reads their statement three weeks after the water heater went in and sees a name. Make it your trade name plus a phone number, not an LLC nobody recognizes, and the dispute becomes a call to your office instead of a chargeback.

Why techs stop using the app in week three
Count the taps. Not the features, the taps. If closing a job takes forty screens’ worth of confirmations, your techs will finish the last four jobs from the parking lot at 5:40 from memory, and the parts list will be wrong. Nobody measures tap count, which is why nobody notices the app has quietly become a paperwork task that happens after the work instead of during it.
Battery is the other silent killer. An app polling GPS every few seconds all morning leaves a tech with a dead phone by mid-afternoon, and a dead phone means no system of record for the rest of the day. Ask the vendor how often the app wakes the radio and whether tracking pauses when the vehicle stops.
Our rule: anything the office wants to know that the tech can’t answer in under fifteen seconds gets captured automatically or it doesn’t get captured at all. Time on site should come from geofence and job status, not from a tech recalling start and stop times, which you’re required to keep accurate anyway (29 CFR 516.2). Buying: what the free tier hides and what the contract says
Free tiers are demos with a seat cap. The two limits that show up most often are the number of technician logins and offline mode, which is the one feature a truck actually depends on. If the free plan syncs only when the phone has bars, you’re evaluating a different product than the one you’d buy.
Per-technician-per-month is the standard unit, so price the questions that unit hides. What does a seasonal helper cost for eight weeks? Can you deactivate a seat mid-term, or does the count ratchet up and stay there until renewal? Get both answers in the quote, not in a sales call.
Read the termination clause and any bundled hardware lease before you look at the monthly price. A non-cancelable 48-month lease on rugged tablets or a card reader will outlive the software subscription it came with, and you’ll be paying it after you’ve moved to something else. Then ask about export: file format, fee, and how long it takes.
